Common questions

What should a handover document include?

The handover details, a summary of the role, work in progress, recurring tasks and deadlines, key contacts, systems and files, open issues and risks, and the unwritten know-how, ending with the handover meetings and sign-off. This template has a section for each.

When should an employee start writing a handover document?

As soon as the leave, move or resignation is known. A handover written in the last two days misses things. Ideally, every role keeps a light version up to date all year, so an unplanned absence doesn’t stop the work.

How do you hand over tasks that aren’t written down anywhere?

Do them together at least once, and write them down as procedures. With Wikidoc, the person leaving records their screen while they do each task, and Wikidoc drafts the SOP with screenshots and a narrated video for the next person.

What’s the difference between a handover document and an offboarding checklist?

The handover document holds the knowledge of the role, the work, the contacts and the know-how. The offboarding checklist holds the admin tasks, such as returning equipment, removing access and final pay. A leaver needs both.
