Example

A café franchise with 14 locations changes its allergen procedure. The operations team updates the SOP and its quiz in Wikidoc, and every franchisee portal shows the new version that day. Franchisees ask their staff to pass the quiz and sign that they have read it. Two weeks later, guest activity shows which locations have finished and which have not started, and the field team adds an allergen check to the next round of visit checklists. Nobody reprints a manual or chases replies by email.

Common questions

Do franchisees and their staff need paid seats?

Not to read the manual or complete training. Franchisee staff use a portal as guests, and guests never take a seat. Portals are on the Team plan. Anyone who needs to edit content or run checklists in your workspace joins as a member, and members use seats.

Can a franchisee run their daily checklists in Wikidoc?

Portal guests can view a checklist, but they can't run one. To record a location's daily checks in Wikidoc, add that location's manager as a member of your workspace. You can start with the manual and training in portals and your own field team's visit checklists, and add members later.

What happens to our manual when a franchisee leaves the network?

Revoke their portal invitations or unpublish their portal, and they lose access. The manual stays in your workspace, and guests can't edit it.

Does Wikidoc replace our franchise management or POS software?

No. Keep the systems that handle royalties, orders, bookings and payments. Wikidoc covers the operating standard around them: how the work is done, who is trained on it, and what was checked.

Is this legal advice about our franchise agreement?

No. Wikidoc holds your operations manual and the training built from it. What the manual must contain, and how it relates to your franchise agreement or disclosure documents, is a question for your franchise lawyer.
